ShuleOS asks for things in a sensible order. If you follow this order, every screen already has what it needs. This page is the map; each step links to its guide.

The order

Step What to do Why it comes here Guide
1 Fill in the school's details: name, logo, address, phone, principal's name and signature. Report cards, receipts and printed lists use them. School settings
2 Create the academic year and its terms. Almost everything is done "for a year": classes, marks, fees, attendance. Academic years and terms
3 Create the classes (and their streams). Students are placed in classes. Classes
4 Create the subjects. Marks, timetables and lesson plans are per subject. Subjects
5 Add the students and parents. One at a time, or from a file. Add a student and Import students
6 Create parent logins. So parents can use the parent portal. Parent logins and contacts

Later guides in this manual cover the steps after this: staff and teachers, the timetable, attendance, exams and report cards, fees, payroll, stock and messaging.

Tips for a smooth start

  • Get your lists ready in a spreadsheet first. Downloads has a blank template and a sample for every import, and a printable checklist of these steps.
  • Do the steps in order. Adding students before the classes exist means you cannot place them.
  • Use the import files for anything with more than a handful of rows. Students, parents, classes, subjects and staff all have an import button with a blank template and a sample file. You always see a preview of what will happen before anything is saved.
  • Try it on one class first. Add one class, a few students and take attendance once, so you see how the pieces fit before you enter the whole school.
  • Look at the Audit Log. Every add, change and delete is recorded with who did it, so a mistake can be traced.
  • Decide who does what. Give each person a role that fits, rather than sharing one login. See the guide on roles.
